Free billing software for small business: what you actually get

What free billing software plans really include, the limits that catch small businesses out, and how to tell if GST billing is genuinely free or paywalled.

Free billing software is genuinely usable for a small business if the free plan includes your country's tax fields (GSTIN, HSN/SAC and CGST/SGST/IGST in India), doesn't cap invoices at a number you'll hit, and lets you export your data. The common catches are monthly invoice limits, single-user restrictions, paywalled GST features, and watermarks on invoices.

"Free" covers everything from a 14-day trial to a plan you can use forever. For a small shop or a new business, the difference matters: switching billing tools mid-year means re-entering customers, items, and invoice numbering. Here's how to tell what a free plan actually gives you before you commit.

The four kinds of "free"

TypeWhat it meansWatch out for
Free trialFull features for 7–30 days, then paidYour data may be locked after the trial ends
Freemium with capsFree forever, but limited invoices, items, or customers per monthHitting the cap in a busy month
Free core, paid complianceBasic invoices free, GST/VAT features paidThe tax fields you legally need are the paid part
Free for one device or userFull features on one device, paid for teams and syncFine for solo owners; plan ahead if you'll hire staff

Seven things to check on any free plan

  1. Tax fields included: in India, GSTIN, HSN/SAC codes, and the CGST/SGST vs IGST split should be on the free plan, not an upgrade.
  2. Invoice or order cap: a limit of 50 invoices a month sounds generous until a festival week.
  3. Items and customers: some plans cap the catalogue size, which hurts retail shops with hundreds of SKUs.
  4. Branding: a "Made with X" watermark on every invoice your customers receive.
  5. Export: can you download all invoices, items, and customers as Excel or CSV at any time?
  6. Offline use: does billing keep working when the shop's internet drops?
  7. Upgrade path: what does it cost when you add a second device or a staff login, and does your data move across intact?

Is free GST billing software good enough to file from?

It can be. A GST-compliant invoice needs the fields in Rule 46 of the CGST Rules — supplier and buyer details, a unique serial number for the financial year, HSN/SAC codes, taxable value, tax rate and amount by head, and place of supply (see our GST invoice format guide). If a free tool produces all of those and exports a clean sales register, your accountant can file GSTR-1 from it. If it only has a single "tax %" box, it isn't GST billing software, whatever the listing says.

One more check for 2026: since 22 September 2025, most items moved to the 5% and 18% GST slabs, with 40% for specified demerit goods. A free tool that still defaults to 12% or 28% will produce invoices that don't match your returns.

When paying makes sense

  • You need more than one person billing at the same time, on different devices.
  • You run more than one shop or warehouse and want stock to stay in sync.
  • Your turnover is above ₹5 crore and you need e-invoice IRN generation built in.
  • You want automatic backups to the cloud rather than manual local exports.

For a single-counter shop, none of these usually apply in year one — which is exactly when a genuinely free plan saves the most.

A quick test before you commit

  1. Create five real items with their HSN codes and GST rates.
  2. Bill one customer in your state and one in another state — check that CGST/SGST and IGST appear correctly.
  3. Switch your phone to airplane mode and try another bill.
  4. Export the sales register and open it in Excel.
  5. Look at the invoice PDF your customer would receive — is it clean and complete?

StashBill (launching soon on Android, iOS, Windows, and macOS) will be free forever for one device and one user, with GST/VAT invoicing, barcode scanning, and reorder alerts included — see pricing for what Pro adds.

Frequently asked

Is there completely free GST billing software?

Yes — some tools offer GST invoicing free forever, usually limited to one device, one user, or a monthly invoice count. Check the limits against your busiest month, not an average one.

Can I use free billing software for a registered GST business?

Yes, as long as the invoices carry all the fields GST rules require and you can export records for filing. The price of the software doesn't affect the validity of the invoice.

What happens to my data if I stop using a free tool?

It depends on the provider. Choose a tool that lets you export everything at any time, so your invoice history isn't tied to one app.

Try it in the app that does this automatically

StashBill applies rules like these on every scan and every invoice, so you don't have to remember them.
