Billing software for distributors and wholesalers: what to look for

What distributors and wholesalers need from billing software: fast multi-line invoices, batch and expiry, price lists, credit limits, e-way bills, and GST.

Distributors and wholesalers need billing software that builds long multi-line invoices quickly (ideally by scanning), tracks batch numbers and expiry dates, applies customer-specific price lists and schemes, enforces credit limits, and handles GST details like HSN codes, place of supply, and e-way bills. Retail-style POS apps usually fall short on these.

A retail shop bills a few items to many walk-in customers. A distributor bills dozens of lines to a few hundred regular retailers, on credit, with deliveries going out daily. The billing software that suits one rarely suits the other. Here's what to check if you run a distribution or wholesale business.

1. Fast multi-line invoicing

A 40-line order typed by hand takes 15 minutes and invites mistakes. Look for:

  • Scanning items into the invoice, or a fast search by code
  • Quantity entry in cases and pieces with automatic conversion
  • Repeating a customer's last order as a starting point
  • Converting a sales order or quotation into an invoice in one step

2. Batch and expiry tracking

For FMCG, food, and pharma distribution, every unit belongs to a batch with a manufacturing and expiry date. Billing software should pick the batch expiring first (FEFO), show batch numbers on invoices where required, and warn you before you dispatch near-expiry stock.

3. Customer-specific pricing

Pricing needExample
Price lists by customer typeRetailer, sub-distributor, institutional
Trade discounts5% off for a key account
SchemesBuy 10 cases, get 1 free
MRP vs selling priceMRP printed, sold below it

4. Credit control

Most wholesale sales are on credit, so outstanding balances matter as much as invoices. Useful features: a credit limit per customer with a warning when it's exceeded, ageing reports (0–30, 31–60, 60+ days), payment recording against specific invoices, and statements you can send on WhatsApp.

5. GST details distributors actually hit

  • Place of supply and the CGST/SGST vs IGST split for out-of-state retailers
  • HSN codes at the right digit length for your turnover (see HSN/SAC codes explained)
  • E-way bills for consignments over ₹50,000 moving by road
  • E-invoicing (IRN and QR code) once turnover exceeds ₹5 crore
  • Credit notes for returns, damages, and post-sale discounts

6. Stock you can trust

Distributors often run one or more godowns plus delivery vehicles. Look for scan-to-receive for incoming stock, transfer records between locations, and a stock ledger that shows every movement. A quick weekly count of your highest-value lines (see ABC/XYZ analysis) catches problems early.

Frequently asked

What's the difference between retail and wholesale billing software?

Retail billing focuses on fast, short bills to walk-in customers. Wholesale billing needs long invoices, customer price lists, credit control, batch tracking, and GST details like e-way bills.

Do distributors need e-way bills for every delivery?

Generally for consignments of goods worth more than ₹50,000 moving by road, with some state-specific rules for intra-state movement. Check your state's limits with your accountant.

Can several staff bill at the same time?

Only if the software supports multiple users and devices with sync. Single-device tools suit owner-run distributors; teams need multi-user plans.

Try it in the app that does this automatically

StashBill applies rules like these on every scan and every invoice, so you don't have to remember them.
