Inventory and invoicing terms, explained

Short, plain-English definitions — with formulas and examples where they help.

Inventory

ABC analysis
ABC analysis ranks inventory items by their share of annual consumption value: A items are the few that make up most of the value, B items the middle, and C items the many that make up little.
Cycle counting
Cycle counting is counting a small, rotating set of inventory items on a regular schedule, so every item is counted several times a year without closing for a full stock take.
Dead stock
Dead stock is inventory that hasn't sold for a long period — often six months or more — and is unlikely to sell at its normal price.
Economic order quantity (EOQ)
Economic order quantity is the order size that minimises the combined yearly cost of placing orders and holding stock for an item.
FEFO (first expired, first out)
FEFO is a picking rule that sells or ships the batch with the earliest expiry date first, whatever order it arrived in.
FIFO (first in, first out)
FIFO is an inventory valuation method that assumes the oldest units are sold first, so closing stock is valued at the most recent purchase costs.
Goods received note (GRN)
A goods received note is the record a business makes when a delivery arrives, showing what was actually received, in what quantity and condition, against the purchase order.
Holding cost
Holding cost is the total cost of keeping unsold inventory over a period, usually a year — capital tied up, storage, handling, insurance and shrinkage, and obsolescence.
Inventory turnover
Inventory turnover is how many times a business sells through its average inventory in a period, usually a year.
Reorder point
A reorder point is the stock level at which you place a new order, so the delivery arrives before you run out.
Safety stock
Safety stock is extra inventory held as a buffer against higher-than-expected demand or slower-than-expected supplier deliveries.
Shrinkage
Shrinkage is inventory recorded in your books that is no longer physically there — lost to theft, damage, spoilage, or recording and receiving errors.
SKU (stock keeping unit)
A SKU is a business's own code for one specific sellable item — one product in one size, colour or pack — used to track its stock and sales.
Weighted average cost
Weighted average cost is an inventory valuation method that values every unit at the average cost of all units available, recalculated as new stock is bought or once per period.

Invoicing & tax

ABN (Australian Business Number)
An ABN is the 11-digit identifier for a business in Australia. It must appear on every tax invoice and, in practice, on every invoice a business sends to another business.
Bill of supply
A bill of supply is the document issued in India instead of a tax invoice when no GST is charged — by composition scheme taxpayers, or for exempt supplies.
Credit note
A credit note is a document a seller issues to reduce the amount on an invoice already issued — for returns, overcharges, discounts after sale, or cancelled supplies.
GSTIN
A GSTIN is the 15-character GST Identification Number given to every GST-registered business in India, one per state registration.
HSN code
An HSN code is the internationally standardised number that classifies goods, used on Indian GST invoices to identify each item and its tax rate.
Input tax credit
Input tax credit is the GST or VAT a registered business paid on its purchases, which it can deduct from the tax it collects on its sales.
Pro forma invoice
A pro forma invoice is a preliminary bill sent before a sale is final, setting out what the buyer will be charged. It isn't a tax invoice and can't be used to claim GST or VAT.
Resale certificate
In the US, a resale certificate is a form a buyer gives a seller to buy goods without sales tax because they'll resell them and collect tax from the final customer.
SAC code
A SAC code is the Services Accounting Code that classifies services on Indian GST invoices, the services counterpart of the HSN code for goods.
Tax invoice
A tax invoice is an invoice issued by a GST- or VAT-registered business that meets the tax authority's content rules, so the buyer can claim back the tax charged.
TRN (Tax Registration Number)
A TRN is the 15-digit Tax Registration Number the UAE Federal Tax Authority issues to VAT-registered businesses. It must appear on every tax invoice.
